Emerging Trends in Multifunctional Printer Market

Shifts in the multifunctional printer market will include a move away from hardware sales and toward the provision of managed workplace services and secure document workflows combined with a reduction in overall cost. From 2025-2027, shifts in hybrid work, AI-integrated software, and sustainability regulations will impact purchasing decisions. According to Lucintel, the demand for printers will remain focused on offices, education, healthcare, and small businesses, but will shift depending on the application.

• Managed Print Services: During 2025, providers will continue to expand subscription agreements that consolidate devices, supplies, monitoring and maintenance. Enterprise clients will opt for cost per page contracts over per unit contracts. This arrangement will also create recurring income for the printer vendors and increase switching costs.
• Cloud-connected Workflows: By 2026, vendors of multifunctional printers will embed cloud scanning, mobile authentication and AI-based document classification, and cloud-based print management will eliminate the need for on-site infrastructure for distributed work environments. In the next three to five years, the vendor market will be based on document management and integration software and cybersecurity.
• Security-first Printing: Increased exposure to ransomware is driving customers to purchase printers that offer encrypted data storage, secure release printing, firmware controls, and user authentication. Quocirca showed that in 2024 print security incidents affected 61% of companies, so buying secure printers will become a priority for banking, government, and healthcare.
• Sustainable Hardware: European directives, both the Ecodesign directive and the requirements to report corporate carbon, have improved demand for devices that use less energy and have longer lifecycles and remanufactured parts. Imaging equipment that has the ENERGY STAR logo uses at least 15% less energy than the equipment that does not have the certification. Procurement decisions in government and health services will be based on equipment's environmental performance.
• Application-specific Productivity: From 2025 to 2027, manufacturers will focus their offerings for the multifunctional printer market around label, healthcare forms, educational, and short-run color printing. Meanwhile, digital print volumes will continue shifting towards variable and demand printing. Specialization of printers will help offset the declining office printing.

The focus for the printer market will shift away from printers to connected document ecosystems. Partners that provide reliable service, security, and offer some environmental sustainability will gain market share. While hardware will still be needed, the real differentiators will be the software and workflow offerings. Buyers will prefer negotiating contracts for their printers that offer more flexibility and measurable productivity. Transactional sales without contracts will continue to decline until 2027.

Recent Developments in the Multifunctional Printer Market

Rapid growth of the multifunctional printer market is expected to continue until 2027 as vendors rebalance towards managed print services, software, security, and low-energy solutions. Lucintel anticipates low-level demand for replacements during that period while market concentration and strategic introductions redefine economic conditions for markets. Growth in hardware is likely to be low, with contracts and recurring business services becoming the main factors in the market.

• Industry Consolidation: Xerox acquired Lexmark for $1.5 billion in July of 2025, bringing together complementary A4 and A3 offerings with increased geographical scope. This is anticipated to create issues for smaller market participants and increase the market players’ ability to negotiate with distributors, along with an expected increase in the bundling of hardware, supplies, and services. This will be particularly pronounced during the next three to five years.
• Workflow Software Integration: In 2025, Ricoh introduced RICOH Smart Integration, a platform for cloud-based document management and workflow automation, and integrated it with more than 30 business applications. This trend will increase the likelihood that investors will purchase equipment in the multifunctional printer market as an initial investment for a complete automated workflow and will increase software attachment rates and decrease the reliance on printing.
• Energy-efficient Product Launches: In January of 2025, Epson introduced a new line of business inkjet devices which had been designed to consume less energy than the equivalent laser systems. The company’s newer products are likely to further increase business due to corporate sustainability goals and a focus on the cost of providing energy for printing.
• Security-led Enterprise Contracts: In 2025, HP expanded the Wolf Security solution to its business printing devices, incorporating security and monitoring services. Increased interest in the security of printing devices is expected to result in tenders that will favor contracting companies that are able to provide integrated controls and integrated services.
• Production and Channel Expansion: The launch of the varioPRINT iX1700 in May 2025 by Canon covers their focus in the commercial printing segment by introducing the 170ppm (pages per minute) sheetfed inkjet platform. With digital presses becoming faster, more short-run applications will be possible, and suppliers of multifunction printer (MFP) systems will tend to integrate production systems within their offerings, rather than keeping them as standalone office equipment.

The market is changing, but will not cease to exist. Replacement cycles will still be long, but how suppliers operate will depend on service revenue, cybersecurity, workflow automation, and adoption of inkjet technology. So, some level of market consolidation is expected. However, customers will demand open software integration and transparent pricing of consumed resources. Vendors that offer a holistic system and integrated view of the managed information system, rather than just a device, will win market dominance.

Strategic Growth Opportunities in the Multifunctional Printer Market

From 2024 to 2026, the multifunctional printer market will shift from buying hardware to buying managed workflows, security, cloud connectivity, and lower overall cost. The advent of hybrid work has introduced more unpredictable print patterns. Meanwhile, regulated sectors still require physical documents. Lucintel sees opportunity for vendors bundling devices with software and service contracts.

• Managed Print Services: Predictable recurring revenue can be created with subscription contracts for unpredictable hardware purchases. In February 2025, Xerox reported 56% revenue from post-sale and service activities. With customers outsourcing fleet management, supply procurement, and uptime assurances, this market will continue to grow.
• Cloud-enabled Workflow Software: Embedded capture, document routing, and e-signatures have the potential to increase revenue beyond the hardware. Microsoft reported over 400 million paid seats of Microsoft 365 in January 2025. With an emphasis on workflow cloud platforms, printer vendors can capitalize on this opportunity over the next three to five years.
• Healthcare and Regulated Documents: Despite the unpredictable growth of hybrid work, hospitals, clinics, labs as well as public sector agencies will still have a need for controlled printing, scanning, and audit trails. In April 2025, the U.S. healthcare sector employed over 20 million workers.
• Sustainable Multifunctional Printers: More energy efficient and recycled plastics as well as remanufactures components and cartridges create a high-end positioning opportunity. In March 2025, the European Commission retained printers within its energy-related product policy agenda. More procure to pay contracts will favor high lifetime value.
• The A3 and A4 systems offer affordability and compactness, making them suitable for education, small business, and dispersed government office use. By January 2025, India will have a population of over 1.4 billion, offering a significant opportunity for large installed based systems. The specifications of devices will not be as much of a concern as local service offerings and financing.

The market will not return to the way it was prior to the pandemic. The opportunities for growth will come from attached software, security, and consumables as well as the service contracts for each device that is installed. In smaller end accounts, vendors who have developed strong channels will have an advantage, while larger end accounts will require vendors with industry specific workflows. Long term design will be a factor in procurement processes, but the most important factor will continue to be strong service offerings

Multifunctional Printer Market Drivers and Challenges

Factors shaping the multifunctional printer market include the influence of technology, customers’ demands, economics, sustainability, and regulations. Marketing suggests that organizations look for interconnected, safe, and cost efficient solutions for their company’s paper needs. Digital change is altering the printing workflow. However, customer demands for paper and the uncertainty within the supply chain are adding market pressure. Innovation, pricing, and market flexibility will determine who is the market leader.

The Major Driving Forces of The multifunctional printer market Include: -

• Increasing Demand for Productivity at The Workplace: Employees use printers with integrated capabilities to print, scan, copy, and fax. This consolidation eliminates the need for multiple devices. Cloud-based technology, mobile printing, and integrated workflow management provide employees flexibility when working from their preferred location. Hybrid work remains the preferred work model for most organizations as stated by Microsoft in their January 2025 report. Meeting the demands of flexible work infrastructures will lead organizations to invest in devices with features such as automating workflows and quick approvals at a lower cost.
• Increasing Connectivity and Security: Integrating multifunctional printers with additional technology such as enterprise software and cloud technology along with incorporating AI and the IoT has made printers multi-faceted workflow management systems that are safe and secure. With the recent development of the internet, secure cloud integration and the automation of document processing will cause the market for advanced multifunctional printers to grow rapidly.
• Sustainability and Energy Efficiency: Environmental goals push organizations to purchase machines with low energy consumption, devices made with renewed materials, and machineries with longer lifespan of components and less wastage. Companies can reduce emissions and save costs through features such as duplex printing, improved toner efficiency, use of remanufactured cartridges, and systems that analyze company paper usage. Manufacturers will experience greater pressure to improve the design of their products for repairability and recyclability as a result of the Ecodesign rules imposed by the European Union that became effective in 2025. The emphasis on sustainability during procurement will become much more noticeable for the government and large enterprise sectors in the next three to five years because of their adoption of measurable environmental goals.
• Expansion of Small and Medium-Sized Businesses: As an alternative to purchasing several individual office machines, small and medium enterprises (SMEs) prefer multifunctional printers. SMEs install need-to-have document solutions without a significant financial burden. The investment and advisory programs administered by the Small Business Administration of the United States continue to make funds accessible to support small businesses. Over the next three to five years, the growth of flexible cost structures in conjunction with the affordability of multifunctional printers will encourage SME adoption of these technologies.
• Expanding Managed Print and Workflow Services: Part of the evolution of managed print services is the transition away from selling machines to charging for complete services covering device monitoring and maintenance, consumables, security, and workflow optimization. Failure prediction via analytics can reduce or even eliminate downtime. Customers can reduce usage via dashboards that track printing. Subscriptions to services as well as the Device as a Service model often used in procurement of business technology are projected to dominate business models by 2025. In the next three to five years, subscription-based services that combine the previously mentioned offerings will dominate. Multifunctional printers combined with complete document management solutions will dominate offerings and enable customer retention.

The issues in this Market are:

• Shrinking Paper-Based Workflows: Digital signatures, cloud-based storage, electronic invoicing and other similar services, along with collaboration tools, decrease document printing in a number of industries. This structural change has an even more negative effect on some customers, affecting the length of the replacement cycle. In April 2025, Adobe demonstrated continued growth of Acrobat’s digital document and electronic-signature services, demonstrating the movement toward electronic documents and processes. Unless manufacturers offer services containing additional value in the areas of printing volume, automation, scan, security, and workflow services, multifunctional printers will experience slow or no growth in the next three to five years.
• High Total Cost of Ownership: Purchase costs are a fraction of total costs. Organizations must factor in the price of toner, energy, maintenance, software, training, and disposal. For developing markets, currency volatility makes imported equipment more expensive, as do inflation and price changes. The World Bank predicted global economic and procurement uncertainties will persist throughout 2025. In the next three to five years, buyers are expected to demand that vendors offer products with energy-efficient technologies, leasing options, predictable maintenance contracts, and at transparent prices, resulting in manufacturers offering products at lower costs based on the value of the services and technologies offered over the product's lifecycle instead of the product price.
• Supply-Chain and Regulatory Complexity: Similar to most other technologies, multifunctional printers rely on semiconductors, imaging, and specialty chemicals. Logistics and service partners also play a major role. Disruptions, regulations, and trade restrictions along with the evolving data protection and environmental regulations add cost and introduce more uncertainties to the time needed to bring new products to market. Beginning in February 2025, the EU implemented the Digital Product Passport and its policy on sustainability. Over the next three to five years, an expanded supplier base, more regional manufacturing, greater data protection, and more environmentally safe products will be needed to offset the potential tradeoffs and disruptions and ensure continued access to markets.

The market for multifunctional printers will experience growth with the incorporation of connectivity, automation of workflows, sustainability, managed services, and demand from SMBs. The traditional market for print hardware will, however, experience a downturn as a result of the decline in paper use, cost of ownership, supply chain disruptions and the complexity of regulations. Successfully competing vendors will need to integrate secure cloud computing, energy efficiency, predictive maintenance, and flexible financing along with document intelligence. The trend will continue to move away from stand-alone printing equipment toward connected document management ecosystems. Long-term customer value will be determined by services and software that will remain competitive and profitable.
